Information we use
When we issue a licence, we may store your email address, the licensed product, licence dates, activation limits and related support notes. Activation uses a randomly generated installation identifier, an optional device label, licence status and activity timestamps. We do not need access to your creative projects to activate your software.
We store emails you send us and our replies. Our hosting service may log connection information such as IP addresses for operation and security. Our administration area uses an essential session cookie. We have not added advertising trackers or marketing mailing-list enrolment to this service.
Why we use it
We use licence and support information to supply and support your software, including administering purchases under our contract with you. For free licences and security checks, our legitimate interests are providing the requested service and preventing misuse; we consider your rights when using this basis. We may retain records where the law requires them. Service emails contain your licence or support information; receiving one does not sign you up for marketing.
Who handles it
Our website, licensing database and incoming mailbox use our 20i hosting. Outgoing licence emails and customer support replies use Resend, which processes recipient email addresses, message content (including licence keys and download links), and delivery information to send those messages. Authorised KwixTools administrators can access information needed to operate and support the service. We do not sell your personal information. If we introduce checkout or another processor, we will update this notice with its role before using it. Hosting providers may use subprocessors; we review their arrangements and any applicable international-transfer safeguards.
How long we keep it
We keep information needed to support an active licence while that service continues, and review the need for older records. We normally remove archived dashboard correspondence after 12 months unless it is needed for an open issue or a legal obligation. Our separate hosted mailbox is reviewed under the same policy. Daily on-host recovery backups are retained for up to 30 days; manually retained recovery copies are reviewed separately.
When we remove contact details, limited pseudonymous licence/security records may remain to prevent misuse. A protected erasure record prevents older emails being imported again. Recovery copies are restricted and erasures must be reapplied if they are restored. Financial or dispute records may have separate legal retention requirements.
Your rights and complaints
You may ask us to access, correct or erase your personal information, restrict or object to its use, or obtain portable information where applicable. Rights depend on the circumstances and legal basis. Contact us using the details above; we may request proportionate information to verify your identity. We normally respond within one month, and explain any lawful extension or limitation.
Please contact us if you have a privacy concern so we can investigate. We acknowledge privacy complaints within 30 days, investigate and communicate the outcome without undue delay. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Keeping information safe
We use HTTPS, restricted administrative access, encrypted sensitive fields and encrypted recovery archives. No system can guarantee complete security. We review our controls and this notice as our service or relevant guidance changes.
